1.2      Bella Intelligence is the data controller for the personal data collected and processed when you use our services. This is because Bella Intelligence needs to collect data in order to provide these services to you as a user.

In some cases, BELLA Intelligence also acts as a data processor on behalf of customers. For further information on this subject, please refer to the applicable SaaS agreement and data processing agreement.

 

1.3      Services covered by this policy

This policy applies to the use of all services provided by Bella Intelligence.

1.4      Purpose and basis for processing

Your personal data is processed in order to fulfil the SaaS agreement and to fulfil Bella Intelligence's legitimate interests.

If you give your consent to participate in surveys, receive marketing, have filled out a contact form or other communication, Bella Intelligence will process your data in accordance with Article 6(1)(a) of the Data Protection Regulation (consent).

In addition, Bella Intelligence processes the personal data that you or your employer has provided to Bella Intelligence in order to fulfil the agreement on the use of Bella Intelligence's services, cf. Article 6(1)(b) of the GDPR.

Bella Intelligence also processes the information generated by your use of our services on the basis of legitimate interests, cf. Article 6(1)(f) of the GDPR. The information is used to provide our services, for marketing, to improve our IT security, for communication and to develop our products.

2. What data is processed?

2.1      Information you provide to us

How we use your personal data depends on which services you use and how you use those services. The data we have about you is used to provide, support and customise our services and to make them available in a way that is relevant and useful to you.

  • We use your registration data to verify your identity and allow you to access our services.
  • We may communicate with you via email about, among other things, the availability of our services, security or other service communications. This may include emails about how to use the services, updates and reminders. Please note that you cannot opt out of service communications from us, including communications about security and legal matters.
  • We use data and content about users for invitations and communications promoting our services. We will only send you marketing information if you have given your consent, and you can withdraw your consent at any time.
  • We use data to conduct research for the further development of our services in order to provide you and others with a better, more intuitive and personalised experience and to increase engagement with our services.
  • We use the data (which may include your communications with us) necessary to investigate, respond to and resolve complaints and issues with the service.
  • We use your information to produce aggregated data sets where it is no longer possible to identify you. For example, we may use your data to generate statistics about our users and the number of logins for licence calculation purposes.
  • We use your data (including your communication with us) if we believe it is necessary for security reasons or to investigate potential fraud or other violations of our SaaS Agreement, this Privacy Policy and/or attempts to harm our members or visitors.

We use your data, in the form of contact information, if you have filled out a contact form on our website. This information is used to contact you.

2.2      Information from your employer

Your employer may provide us with information so that you, as a user, can use our services. We may therefore receive information about your field of work, your title, contact information and the IP address from which you are expected to access the service.

2.3      Use of services

The services collect information about how the services are used, including the actions users take (such as sharing, editing, viewing and moving data), how much time the user spends on the services, the number of logins and login attempts, the user's unique identifiers, search history, associated and accessed cases, accessed modules, etc. This information is used to improve the services, develop new features, protect users and the security of the services, create activity logs, monitor compliance with the SaaS agreement, billing, comply with GDPR and communicate with users in connection with support, maintenance and operation of the services.

2.4      Cookies and other similar technologies

2.5      Your device

We receive data from your devices and networks.

We also receive information about your IP address, proxy server, operating system, browser device ID and features, and/or ISP.

2.6      News

Bella Intelligence har et nyhedsbrev, som det er frivilligt at tilmelde sig – og du kan altid framelde dig dette igen. Formålet med nyhedsbrevet er at sende ny information fra virksomheden, som kan omhandle nyt indhold i tjenesterne og annoncering af vores ydelser. Nyhedsbrevet fremsendes pr. mail.

Vi behandler dine personoplysninger, så længe du er tilmeldt nyhedsbrevet. Ved afmeldelse af nyhedsbrevet, stopper vi med at sende dette til dig.

Ved afmeldelse af nyhedsbrevet, sletter vi samtidig dine kontaktoplysninger, medmindre du fortsat modtager andre tjenester fra os. I disse tilfælde vil vi fortsat have behov for at opbevare dine kontaktoplysninger, men du modtager naturligvis ikke længere det afmeldte nyhedsbrev.

2.7 Other

Our services are dynamic, and we often launch new features that may require the collection of new information. If we collect new personal data or use your personal data for other purposes, we will notify you and, to the extent relevant, amend this privacy policy.

3. Your rights as a data subject

As a data subject, you have a number of rights that you can exercise by contacting us at the email address provided in section 8 below or by sending us a letter.

Your rights include the right to request access to the personal data we process about you. You also have the right to receive a copy of this data.

In some cases, you have the right to object to our processing of your personal data, to request the correction or deletion of your personal data that you believe to be incorrect, outdated, etc., or to request that the processing of your personal data be restricted or deleted.

As a data subject, you also have the right to data portability if the specific conditions in the data protection legislation are met. If technically possible, you also have the right to have your personal data transferred to another data controller.

In certain cases, a request to exercise your rights may be restricted in accordance with applicable rules, including for compelling private interests, if these are deemed to outweigh your interests as a data subject.

If you have previously given Bella Intelligence consent to process your personal data, you have the right to withdraw your consent at any time. The withdrawal of your consent does not affect the lawfulness of the processing that has taken place prior to the withdrawal. If you withdraw your consent, the processing of your personal data will cease and your personal data will be deleted, unless there is an objective or legal basis for retaining it.

4. Data storage

4.1      Data storage

When your subscription to one of our services is cancelled or expires, your account will be deactivated and become unavailable.

BELLA Intelligence stores information collected in connection with the use of the services for as long as necessary to fulfil the purposes described in this privacy policy. This may result in a storage period of up to five years.

4.2      Closing access

Bella Intelligence will retain some of your information even if you close your access to our services, if necessary to comply with our legal obligations (including requests from official authorities), comply with laws and regulations, resolve disputes, maintain security, prevent fraud and abuse, or enforce our user agreement.

5. Transfer of data to third countries

Bella Intelligence uses suppliers and subcontractors to process and store personal data in order to provide our services. These suppliers and subcontractors include companies that are either located in third countries or are affiliated with such companies under company law.

Bella Intelligence strives to ensure that all processing of personal data takes place within the EU/EEA. If this is not possible, the necessary organisational and technical measures will be taken to ensure adequate protection of personal data. An example of such a measure could be anonymisation.

6. Disclosure of personal data

As a general rule, Bella Intelligence does not disclose personal data to third parties unless this is done in the performance of a task on behalf of Bella Intelligence, including sharing with other affiliated companies. This disclosure is based on Article 6(1)(f) of the Data Protection Regulation (legitimate interest). Where necessary, an appropriate data processing agreement will always be entered into.

7. Changes

If you do not accept the changes, you may terminate your access to the service in accordance with your SaaS agreement. Your continued use of our services after the publication of any changes means that you accept the updated privacy policy.
